Job Description

TITLE: - Executive Personal Assistant/Administrative Associate

REPORTS TO: Executive Director

CLASSIFICATION: Classified Operational

BASE SALARY: Negotiable

LOCATION: 120 Abercromby Street Port of Spain, Trinidad

TERM OF EMPLOYMENT: 7 WEEKS

SUMMARY DEFINITION:
Execute the daily operations and functions assigned by the Executive Director of the
Institute to ensure successful implementation of initiatives and programs.
This position description is not intended to be an exhaustive list of all duties, knowledge
or abilities associated with this classification, but is intended to accurately reflect the
principal job elements.

 

  • o Prepare and dispatch hardcopy and electronic correspondence
  • o Liaise with course participants and students to ensure that pertinent
  • information is disseminated in a timely manner
  • o Develop and maintain a manual and a corresponding electronic filing
  • system
  • o Assist in the conduct of research relevant to the marketing and delivery of
  • the Institute's programmes
  • o Data entry and report generation in respect of the Institute's accounting
  • system, training and conference feedback
  • o Assisting with the accounts receivables and accounts payables function.
  • o Assisting in the implementation of the Institute's Quality Management
  • System
  • o Assisting in the preparation of reports
  • o Maintenance of student and course participant databases
  • o Maintenance of student and course participants records
  • o Maintaining effective communication with all external stakeholders
  • including students, course participants, faculty members, suppliers
  • o Marketing of the Institute's programmes and services
  • o Registration of participants and students
  • o Perform other duties reasonably related to this job class.
  • o Responds to questions as they relate to policies and procedures and
  • ensures necessary follow-up.
  • o Provides administrative support to Directors and the Event Coordinator.

MINIMUM QUALIFICATIONS:

 

EDUCATION AND EXPERIENCE:
Any combination of education, experience, and/or training equivalent to a diploma in
business management, education, management information systems, or related field
and five years of relevant experience.

LICENSES AND OTHER REQUIREMENTS:
Valid Trinidad and Tobago Identification Card.

KNOWLEDGE AND ABILITIES:
KNOWLEDGE OF:

  • Correct English usage, grammar, spelling, punctuation and vocabulary.
  • Reading and writing English communication skills.
  • Interpersonal skills using tact, patience, and courtesy.
  • Operation of standard office equipment, including microcomputers.
  • Computer literate, particularly in the use of the Internet, Microsoft Word, Power Point
  • and Excel, Peachtree Accounting Software, Windows, and desktop publishing.
ABILITY TO:
  • Work independently with minimal supervision, or as part of a team.
  • Organize work to meet schedules and time lines.
  • Understand and follow oral and written directions.
  • Learn the procedures, functions and limitations of assigned duties.
  • Communicate effectively verbally and in writing.
  • Establish and maintain cooperative and effective working relationships with all levels of
  • staff, outside agencies, and the public, students and course participants.
  • Employ a tenacious work ethic and a sense of urgency in solving problems.
  • Approach challenging situations with humor and goodwill.
  • Work effectively with computer software programs including Word, Power Point, Excel,
  • Peachtree Accounting Software, Windows, Desktop Publishing and the Internet.
